Job Overview

Under the direction of the Director of the Program Division and as a member of the Branch Management team, the Director’s Assistant provides operational and administrative assistance to the Director, performs a variety of administrative, research, coordinating and logistical services in support of the operations of the Director’s office and assists with information management functions within the Program Division.

This includes keeping up an in-depth knowledge of IDRC and of the current activities of the Program Division, responding to general external and internal requests for information, electronic communication and facilitation, liaison with staff from the Program Division, the Branch and other Centre branches,  regional offices, and representatives from other institutions.

Candidate Profile

Education

  • Business College Diploma / or equivalent experience and qualifications. 
  • Executive Assistant training would be desirable


  • Experience

    Minimum of 5 years working experience in the coordination and delivery of various administrative activities and projects including scheduling and organizing meetings, arranging travel, maintaining files and records; experience in the preparation and monitoring of financial and budgetary documents; experience in making maximum use of electronic tools to support administrative and managerial needs (including experience with all components of the Microsoft Office Suite.

    Language

  • Bilingual (English and French) position at an intermediate level

  • Knowledge

  • Excellent knowledge for computer software (Word, PowerPoint, Excel, Microsoft office)
  • Knowledge of website design and maintenance
  • Knowledge, and/or interest in the mission and work of the Centre
  • Strong knowledge of computerized administration systems including
  • Knowledge of file classification systems and electronic filing


  • Competencies

  • Excellent organizational and coordination skills with attention to detail;
  • Strong written and oral communication skills in both English and French including taking minutes of meetings
  • Effective interpersonal skills, tact and discretion; ability to work well with minimal supervision and be a self-starter;
  • Ability to perform research-related tasks (library research, internet searches, analysis of documents, proficiency in writing and editing)
  • Good judgement, initiative, and ability to set priorities;
  • Demonstrated ability to work under pressure when deadlines must be met;
  • Ability to analyze data and information, identify problems, trends and take appropriate action
  • Flexible, adaptable, able to take initiative, to respond quickly to unanticipated demands, and to deal with new and a wide variety of issues and activities under time constraints and conflicting priorities
  • Capacity to bring improvements and recommendations to the Director
